Refund & Cancellation Policy

How cancellations, modifications, no-shows and refunds work for bookings at Kaivalyam Homestay — kept simple and fair.

This Refund & Cancellation Policy explains how cancellations, modifications, no-shows and refunds are handled for bookings made with Kaivalyam Homestay. It forms part of our Terms & Conditions. We have tried to keep our terms simple and fair for the small, personally-run homestay that we are.

1. How to Cancel or Modify a Booking

To cancel or change a confirmed booking, please contact us as early as possible by email at Stay@kaivalyamhomestay.com or by phone/WhatsApp at +91 80753 91908. A cancellation or change is effective only once we acknowledge it in writing. The time of cancellation is taken as the time we receive your request. Please note that bookings cannot be cancelled on the scheduled check-in date.

2. Cancellation Charges and Refunds

The following charges apply, calculated on the total value of the cancelled booking and based on how far in advance of the check-in date you cancel:

Peak season and long stays: Bookings during peak periods or special long-stay arrangements may carry different terms. Peak periods typically include the Diwali period (3 days before to 1 week after Diwali), the Christmas and New Year period (21 December to 4 January), and other major festivals (around 3 days before and after). Any such terms will be clearly communicated and confirmed in writing at the time of booking and will prevail over the table above for that booking.

3. Advance Payment

Where an advance or booking amount is collected to confirm a reservation, it is adjusted against your final bill. If you cancel, any refund of the advance is governed by the table in Section 2.

4. How Refunds Are Processed

  • Approved refunds are made only to the original payment method / account used for the booking. Requests to transfer a refund to a different account cannot be entertained.
  • Refunds are normally initiated within 7 to 10 business days of our confirming the cancellation. The time taken for the amount to reflect in your account depends on your bank or payment provider, and may take up to 15 working days.
  • Payment-gateway or transaction fees, where applicable, are non-refundable.

5. Cancellation by the Homestay

In the rare event that we must cancel a confirmed booking (for example, due to circumstances beyond our control, maintenance issues, or force majeure), we will inform you at the earliest and offer you either an alternative date subject to availability or a full refund of the amount paid for the affected booking. Our liability in such cases is limited to the refund of amounts received.

6. Force Majeure

We shall not be liable for cancellations or service interruptions caused by events beyond our reasonable control, including natural events, heavy rainfall, landslides, road closures, floods, power or network failure, strikes, pandemics, or government restrictions. In such cases we will work with you in good faith to reschedule the stay where possible.
